Lakeview Villa owner guide
Prepared by HostUnbound for Jeremy. Private, please don't share.
Note: This guide describes the new booking version of www.naplesreservevilla.com, launching soon. Until it launches, the site you see today is the older version, and the sign-in below won't work yet.
Your site in one minute #
- Guests find Lakeview Villa at www.naplesreservevilla.com, pick dates and send you a booking request.
- The nights are held for them while they pay you by Venmo or PayPal.
- You check that the money arrived, then confirm the booking in your owner portal.
- The site keeps your Airbnb and VRBO calendars in step and emails guests for you.
- The site works in 8 languages: English, Spanish, French, German, Portuguese, Italian, Chinese and Japanese. Guests use the flag button at the top of the page (a flag plus a currency code, like the US flag and USD) to pick their language and the currency prices are shown in. Other currencies are estimates; guests are always told bookings are charged in US dollars.
Part 1: First visit #
- Open www.naplesreservevilla.com on your phone or computer. This is what guests see. #
- There's no "owner" link on the site on purpose. To get to your portal, type www.naplesreservevilla.com/owner in the address bar. #
- Bookmark that page, or add it to your phone's home screen. You'll use it a lot. #
Part 2: Signing in #
There's no password. You sign in with a link sent to your email.
- Go to www.naplesreservevilla.com/owner. #
- Type naplesreserve14591@yahoo.com and tap Email me a sign-in link. #
- The page says Check your email. It shows the same message for any address, so check you typed yours correctly. #
- Open the email from Lakeview Villa (stays@mail.hostunbound.com). The subject is "Your sign-in link for Lakeview Villa". #
- Tap the link within 15 minutes. Each link works once. #
- You'll see Signing you in…, then your portal opens. #
- That phone or computer stays signed in for 90 days. Using the site doesn't extend this. After 90 days, just request a new link. #
No email? #
- Wait a minute, then check Yahoo's Spam folder. If it's there, mark it "Not spam" and add stays@mail.hostunbound.com to your contacts so future links land in your inbox.
- Tap Send me a new link (or Use a different email if you mistyped).
- You can request up to 3 links every 15 minutes. If it says "Too many sign-in requests", wait and try again.
- If it says This link no longer works, the link was used or older than 15 minutes. Request a new one.
- Still stuck? Text Justin.
Part 3: First-time setup #
Your portal has five tabs: Bookings, Calendar, Reviews, Emails and texts and Settings. Start with Settings.
- Tap Settings. #
- Pricing: check Nightly rate (USD), Friday and Saturday rate (USD), Cleaning fee (USD), Minimum nights, Max guests and Buffer days between stays (empty nights kept between bookings). They start at $258 a night every night, a 2-night minimum and 6 guests. Cleaning fee (USD) is set to $0 for now, because your Airbnb listing doesn't show the fee publicly. Enter your cleaning fee here yourself, or send the amount to Justin and he'll add it. Ignore Card checkout hold; it only matters for card payments, which are off. #
- Taxes: two taxes are set: Florida sales tax (6%) and Collier County tourist tax (5%), for 11% in total. Both apply to the rent, extra-guest fees and cleaning fee. Guests see both as separate lines, each rounded to whole dollars. Registering for, collecting and filing these taxes is your job. You need two registrations: the Florida Department of Revenue for the 6%, and the Collier County Tax Collector for the 5%. One note: a county vote on Nov 3, 2026 could raise the tourist tax to 6% (12% total) starting Jan 1, 2027. If it passes, Justin will update it for you. #
- Calendar sync: paste your Airbnb and VRBO calendar export links (they end in .ics). The site checks them every 15 minutes and again before every request. #
- Payments and alerts: check your Venmo username and PayPal.me username. Hold requests for (hours) is how long a request holds the dates (24 hours to start). Check that Your email for new-request alerts is naplesreserve14591@yahoo.com. #
- Under that field you'll see: "This address can also sign in to your portal." If a save would remove the address this device signed in with, a box asks: "You're signed in with <email>. If you change this, that address will no longer be able to sign in, and this device will be signed out. Continue?" Tap Cancel to keep the old address and save nothing, or Change it to save and go back to sign-in. If you try to leave the field empty, you'll see: "Please keep an email here. It is the only address that can sign in to your portal." Tell Justin before changing it, so you don't lock yourself out. #
- Guest emails: replace the sample text in Check-in details with your real gate access, door code, Wi-Fi and parking. The site emails it to guests 3 days before arrival automatically, so don't leave the sample text in. #
- Reviews: your Airbnb listing link and rating text show on the site. Update the rating text when it changes. #
- Tap Save settings. You'll see "Settings saved". #
- Tap Calendar. Copy the link under Your calendar link for Airbnb and VRBO. #
- In Airbnb go to Availability, then Connect calendars, then Import, and paste it. In VRBO go to Calendar, then Import, and paste it. Now direct bookings block those sites too. #
Part 4: Day to day #
When a request comes in #
- A guest picks dates and sees the total, enters their details, agrees to the rental agreement and house rules, and sends a request. #
- The dates are held for them (24 hours by default). The guest sees, and gets by email, your Venmo and PayPal payment links with the amount. #
- You get an email: "New request: dates · total". #
- Open Bookings. The request is under Booking requests with its Hold ends time. When nothing is waiting, the screen says you get a text at your alert number. Texting isn't on yet, so for now that alert comes by email. #
- Check Venmo or PayPal. When the full payment is there, tap Mark paid and confirm and pick how they paid. The guest gets a confirmation email. #
- Need more time? Tap Extend hold 24 hours. Not taking it? Tap Decline and release and confirm; the guest gets an email and the dates open again. #
- If you do nothing, the hold ends on its own and the dates reopen. #
After you confirm #
These emails are automatic. There's nothing for you to set up.
- You get a "New direct booking" email. If arrival is within 14 days, it starts with "Action needed: block Airbnb and VRBO", because those sites only refresh your calendar every few hours.
- 3 days before arrival, the guest gets your check-in details.
- 1 day before arrival, the guest gets a reminder.
- 1 day after checkout, the guest gets a review link.
- Guest emails go out in the language they booked in. Your emails are in English.
Blocking dates for yourself #
- Open Calendar. #
- Use Block dates for personal stays or maintenance, with a start date and the check-out day. Use Unblock dates to undo it. #
- Sync Airbnb and VRBO pulls their calendars right away instead of waiting 15 minutes. The site also checks them before every new request. #
Reviews #
- Direct guests can leave a review with their one-time link.
- New reviews wait in Reviews, and publish on their own after 72 hours. Tap Publish now to post one sooner.
- You can remove a review only for spam, abuse, private information, or not being about a stay. Honest bad reviews stay up.
Checking what was sent #
Emails and texts lists every guest email and every alert to you, so you can see what went out and when.
Signing out and lost phones #
In Settings, under Signed-in devices, you can sign out one device, use Sign out on this device, or Sign out all devices if a phone is lost.
Changing the listing #
Edit listing at the top of the portal opens the listing editor for text and photos. Use JPEG or PNG photos; if an iPhone photo won't upload, export it as a JPEG first. Ask Justin if you're not sure.
Cancellations #
Your policy: a full refund if they cancel at least 14 days before check-in, 50% of the nightly rate at least 7 days before, and no refund inside 7 days. The If cancelled today column in Bookings shows what the policy owes right now. You send refunds yourself, back the way the guest paid. If a guest pays after their hold ended and the dates were taken, the booking shows Needs refund and you get an urgent email; refund them in full.
Texting #
Texting isn't switched on yet. Approval for the text number is still pending, and Justin will let you know when it's on. Until then, all alerts come to you by email, even where the portal mentions texts.

Questions #
Do I need a password? No. Every sign-in uses an email link. #
Can I sign in on my phone and computer? Yes. Request a link on each one. #
